We are actively seeking a Receptionist to join our team in Banbridge!

Key Responsibilities

  • Meeting and greeting visitors to Reception in a warm and welcoming manner, in keeping with the company position of a positive attitude and professional appearance.
  • Maintaining a clean, welcoming and organised reception area.
  • Answering telephones, diverting calls and delivering messages in a professional manner.
  • Maintaining good communication with “Overflow Ring Group”, ensuring that cover is in place when required.
  • Communication of post procedure and delivery options to all staff. Franking, recording and distributing of company post.
  • Management of meeting rooms booking system, ensuring bookings are approved or declined in a timely manner.
  • Liaising with HR dept ensuring all new starts are familiar with meeting room booking system.
  • Ensuring all meeting rooms are clean and tidy; liaising with Cleaning dept where necessary.
  • Ordering and maintaining stationery levels for Head Office & London Office. Coordinating with departmental stationery leads to ensure efficient ordering process. Maintaining a tidy and well-organised stationery store.
  • Ordering and maintaining canteen supplies; milk, tea, coffee and sugar are stocked and cancelled when required. Ensuring supplies are value for money.
  • Ordering fruit supplies and liaising with fruit supplier when not needed.
  • Liaising with IT dept, ensuring all meeting rooms have clear laminated signage detailing instructions on how to use computer equipment and Wi-Fi.
  • Ensuring that TVs in reception areas have content e.g. showing Sky News during times of marketing updates.
  • Maintain Master Site location document showing site addresses, postcode, key contacts to support delivery driver queries.
  • Organise and coordinate tea, coffee and refreshments for training room and boardroom meetings when required.
  • Creating and updating process documentation for all reception processes, ensuring these are up to date at all times.
  • Admin support for Travel coordinator.
  • General ad hoc office administration.
  • Any other duties required to fulfil the requirements of the position.

Person Specification

Qualifications

Desirable:

  • 5 GCSE's (Grades A-C. Including math and English)

Experience & Knowledge
Essential

  • 1 + years’ experience in a similar role

  • Organised and structured approach to work with the ability to meet deadlines
  • Analytical and problem-solving skills with good communication abilities
  • Ability to work under pressure and cope with a varied portfolio of work, progressing with reduced supervision
  • Good interpersonal Skills
