We are seeking a professional and organised Receptionist. The successful candidate will be based in London to serve as the first point of contact for our busy MEP engineering company. This role requires someone who can manage front-of-house operations whilst providing comprehensive administrative support to our technical teams and senior management.
Key Responsibilities
- Meet and greet visitors and guests in a warm, friendly and professional manner
- Maintain a clean, welcoming and organised reception area
- Coordinate meeting room bookings and ensure facilities are prepared
- Maintain staff and visitor logs, issue security passes as required
- Ensure unlocking and locking protocols are followed
- Handle incoming/outgoing mail and courier services
- Oversee day to day activities and ensure smooth operation of the workplace
- Manage office supplies inventory and coordinate procurement with suppliers
- Coordinate with FM provider on maintenance, utilities and facilities
- Maintain health and safety compliance records and coordinate fire drills
- Manage relationships with service providers (cleaning, IT support, security, etc.)
- Coordinate travel arrangements including flights, accommodation, and transport
- Prepare and format technical documents, proposals, and correspondence
- Maintain filing systems for documentation and company records
- Handle confidential information with discretion and professionalism
- Support business development activities and client relationship management
- Handle petty cash and office expenses
- Process invoices and coordinate with accounts department
Experience & Knowledge
Essential
- GCSE or equivalent in Maths and English Grade C or above.
- Minimum 2+ years' experience as a receptionist
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Desirable
- NVQ levels 2 or 3 in Business Administration or equivalent.
- Experience in construction, engineering, or Professional Services environment preferred
