We are currently seeking a Senior Administrator.
The successful candidate will play a vital role in supporting the Birmingham office, assisting with day-to-day administration and coordination across sites in the Midlands and UK. The role involves providing a comprehensive administration service to the Pre-Construction and Operations teams, ensuring smooth and efficient operations.
Key Responsibilities
General Administration
- Provide comprehensive administrative support to the Estimating & Operations teams, including document preparation, data entry, diary management, correspondence, and visitor reception.
- Manage office resources including supplies, meeting scheduling, mail distribution and filing (physical and digital).
- Coordinate travel arrangements, meeting logistics, and prepare supporting materials such as slides and visual aids.
- Handle incoming calls, emails, and visitor interactions professionally, serving as a liaison between internal teams, clients, and suppliers.
- Support Birmingham Leadership Team with confidential and sensitive administrative tasks as required.
Compliance & Records Management
- Act as Birmingham Office Safety Coordinator and support ISO audits, NICEIC inspections, insurance renewals, and business continuity documentation.
- Oversee accurate filing and distribution of SHEQ documents and ensure compliance with company standards.
- Utilize Kane Group platforms (Field View, Viewpoint, 4Projects) to manage and distribute project and business-critical information.
Commercial & Financial Support
- Create and manage purchase and subcontract orders using financial control systems.
- Assist Group departments (HR, Accounts, Procurement, Commercial) with timesheets, absence tracking, invoice filing, expenses, and ad hoc admin support.
Project & Operations Support
- Manage distribution and tracking of project documents, RFIs, technical submissions, and deliverables.
- Support progress reporting, defects management and handover activities including Operation & Maintenance manuals and certification collation.
- Ensure PPE, stationery and site materials are sufficiently stocked and distributed.
Experience & Knowledge
Essential
- Educated to GCSE level (or equivalent), with passes in English and Mathematics
- 2+ Years experience in a similar role
- Strong proficiency in MS Office Suits (Excel, Word, PowerPoint, Outlook, Teams)
Desirable
- Background in building services and/or the construction sector
- Experience with systems implementation
- Skilled in document control systems such as Viewpoint, Field View and 4Projects (4P)
